About the Role

Muon seeks an Office Coordinator for our Mountain View, CA office. In this role, you will be responsible for managing day-to-day operations of company facilities, including visitor management, workspace functionality, and facility related vendor relationships while ensuring safe, efficient, and compliant work environments.

Important: This role requires on-site presence Monday through Friday from 8:00 AM – 5:00 PM. This role does not offer a WFH option. Occasional on-call availability on weekends may be required in the event of a company event or facility emergency.

Responsibilities

  • Manage the front door and oversee Muon's guest check-in process.
  • Maintain end-to-end employee experience including café, snacks, badge distribution and access, and collaboration areas ensuring a welcoming and well run environment for visitors and employees alike
  • Assist with office events, space setup, and facility readiness activities
  • Receive USPS, scan and email documents to the appropriate department
  • Create and issue corporate badges; manage access control for employees and guests
  • Conduct a daily perimeter check before leaving to ensure the security of our facility
  • Coordinate with vendors and internal colleagues to resolve on-site facility issues with minimal disruption to business operations
  • Stay vigilant with ADA compliance and building compliance requirements
  • Communicate planned facility work and schedules to internal teams to minimize operational impact

Qualifications

  • Must be able and willing to reliably work in our Mountain View office 5 days per week from 8:00 AM – 5:00 PM
  • 1–2 years of office coordination, corporate operations, or related administrative experience
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Good written and verbal communication skills
  • Computer literacy, including experience with Google Workspace and Slack
  • Familiarity with visitor registration systems (iPad, The Receptionist, Envoy; ITAR knowledge is a plus)
  • Proactively identifies and resolves issues, taking personal accountability for solutions and follow-through
  • Ability to adapt to a dynamic, fast-paced environment

Nice-to-have Skills

  • Associate's degree or equivalent experience
  • Experience working with ticket management software (Asana, Jira a plus)
  • Associate's degree or equivalent experience
  • Familiarity with basic facility or building management processes

Salary

This role is non-exempt. The salary range for this role is $80,000 – $90,000 ($40-$43/hourly), plus a competitive equity grant and comprehensive benefits package. Final compensation will be based on skills, qualifications, experience, and geographic location as assessed during the interview process.
